Standard Labor Guidelines

To Repair or Replace Parts – Applicable to Delfield Equipment

Advice and recommendations given by Delfield Service Technicians do not constitute or guarantee any special coverage.

  • A maximum of 1-hour is allowed to diagnose a defective component.
  • Travel –  Submit actual travel time and mileage on the claim – Travel will be reimbursed up to a maximum of 100 miles round trip and 2 hours per completed service call .
  • A Service Work Authorization is only needed when overtime, installation/start-up, normal control adjustments,
    general maintenance, glass breakage, freight damage, and/or correcting an end-user installation error is requested. You must submit the number with the service claim.
  • Actual repair time will be paid at or below guideline.
  • Parts on the critical stock list must be air freighted at the expense of the service agent.

Compressor 
– This includes recovery of refrigerant and leak check.
 
– $55.00 maximum reimbursement for refrigerant recovery (includes recovery machine, pump, torch, oil, flux, minor fittings, solder, brazing rod, nitrogen, or similar fees).
 

Refrigerants

R404A: A maximum of $30.00/lb. will be reimbursed. 
R290: A maximum of $50 of refrigerant will be reimbursed. 

Claim Submission

All invoices must be submitted to The Delfield Company through the KitchenCare Claims Processing System (CPS) within 30 days of completion of service work performed. The following information is required or they will be returned to the service company. Claims will be processed and reimbursed within 45 days of receiving all the required information.

 Incomplete and/or inaccurate claims will be returned to the service agent for correction and resubmitted. Delfield is not responsible for the delay of reimbursement to the service agent under these circumstances, and will not pay any finance charges accrued during the pending period of the claim.
All parts are to be held for 60-days from reimbursement or 90 days from the date of the claim. After this date, the parts may be scrapped without further notification.
Must respond to the customer within 4 hours from the time the call was placed, and service the unit within 24 hours from the time the service call was placed.

All Invoices Must Include:

The model and serial number of the Delfield unit that was serviced.
The date that the service work was done and the location.
A copy of the wholesale bill where the replacement compressor or parts were purchased or obtained at no charge.
A detailed and thorough description of the service work performed, with a breakdown of the labor charges.
The customer’s signature showing that the work was completed.

Important Tips To Be Aware Of When Submitting Service Bills:

Warranty time line is subject to individual models. Verify warranty online at HERE or check with manufacturer before performing work.
Document or photograph the serial number and model of compressor for service claim records.
If a 5-year compressor parts only warranty is purchased, 2nd day air is covered in the warranty.
Parts purchased through the Delfield Authorized parts network must be returned to the point of purchase for credit.
Fuel surcharges are not reimbursable under warranty.
